PAYROLL PROCESSING

  • Payroll Submission Deadlines

    Payroll hours must be submitted by the end of the last workday of the pay cycle (Friday or Saturday, depending on the schedule).

    Because payroll processing, check printing, mailing, and delivery timelines are very tight, there is only a limited window for flexibility before late or urgent processing fees apply.

    • Any payroll submitted after Monday at 10:00 a.m. will be considered late.
    • Companies that are 100% direct-deposit compliant are allowed an additional grace period before late fees are applied.


    Submitting payroll on time helps ensure employees are paid accurately and without delays.

  • Payroll Changes and Updates

    All payroll changes or updates — such as adding or removing employees, direct deposit changes, or updates to deductions — must be submitted 3–5 business days in advance.

    To meet compliance and record-keeping requirements:


    • All updates must be submitted through the Request Center
    • Requests sent by text or email will not be accepted

    Note: Many of these changes can be completed directly by the employee if they have access to Workforce, which can help speed up processing and reduce delays.

  • Direct Deposit

    Direct deposit is strongly recommended for all employees. Employees may initiate a direct deposit request through the Request Center. Employees with Workforce access can also manage their deductions and direct deposit through the app or website.

  • Payroll Documents - Check stubs and W2's

    Employees with access to Workforce can view payroll documents, such as pay stubs and W-2s. 


    Employers can view payroll reports and W-2s in BOX under the "Reports" folder.

  • Payroll Cycles

    Payroll cycles are based on calendar weeks, each covering two full weeks (Sunday–Saturday). After the two-week period, all payroll hours must be submitted by the end of the last workday of the pay cycle (Friday or Saturday, depending on the company’s schedule).”

  • Workforce - Employee Self-Service Portal

    QuickBooks Workforce is an online employee portal and mobile app that lets employees securely view their pay stubs, W-2s, and other payroll documents all in one centralized hub.


  • TIME - Online TimeSheet

    As an additional service, employers may offer TIME, an online timesheet tool. 


    TIME allows employers to schedule, track, and approve worked hours. 


    Employees can clock in and out, track hours, request time off, and view their schedules and pay information. 


    This tool integrates with QuickBooks Payroll for accurate payroll processing
